How to Run a Report

Pick a report, choose your options, and get a spreadsheet. No computer experience needed.

What is in the Reports tab?

Standard reports have been built for you, such as facility roster or daily census. Simply pick the report that meets your needs, select data criteria from the available Filters options, and click Run/Submit Report or Download. Olari then generates the report. 

Who can do this: Administrator, Full No Admin, Full No Billing, and Read Only No Billing. (Detox Monitor and General User roles do not have the Reports area.)

How to run a report

  1. Log in to the Olari Portal using your assigned Link (URL) and credentials.
  2. Go to the Reports tab on the menu bar at the top of the screen. From the dropdown menu, select Run Reports.
  3. Under Report Name click the dropdown menu (located on the left above the Filters grid) and select the report you want to run.
  4. Review the Filters grid: Filter options will remain greyed out until a report requiring filters is selected. Once active, choose the appropriate criteria (such as Program, County, etc.). Some fields include a “Select All” option.
  5. Click one of the following: Run/Submit Report (generates the report in the system) or Download (downloads directly to your device)
  6. A notification will appear when your report is ready.
    • If you selected “Download”: The report will be saved to your computer’s Downloads folder.
    • If you selected “Run/Submit Report”: Go to the Report Downloads tab. Monitor the status of your report. Once the status shows Completed, click the report title to open it
    • Open the downloaded or generated file to review your report. From there, you can save, print, or share it as needed.

                    ✓ Good to know: A number of standard reports are ready-made. You do not have to build them— just choose your options and click Run.

                    💡 Tip: Filters, if field becomes available after selecting report, you are required to select from drop-down options

                    The choices you might see

                    Different reports offer different choices. You may see some of these, all of them, or none — it depends on the report.

                    Date

                    Limit the report to a specific date, month, or date range

                    Program

                    Limit the report to one or more of your programs (for example, “Detox – Mens”) or Select All.

                    Gender

                    Limit the report to clients of a chosen gender or Select All

                    Facility Setting

                    Limit the report to a chosen facility or Select All

                    Payor

                    Limit the report to clients with a chosen payor or Select All.

                    County

                    Limits the report to clients from a chosen county or Select All.

                    Where your report goes

                    When the report finishes, it downloads as a spreadsheet file (an Excel file). Look at the top/bottom of your web browser or in your computer’s “Downloads” folder. Double-click the file to open it.

                    If something goes wrong

                    If you encounter problems while running a report, try the following:

                    1. “Reports” option is missing from the menu bar
                    Your user role may not have access to reports. Please contact your supervisor or the Olari administrator for assistance.

                    2. Nothing downloads after clicking “Run”
                    Your browser may have blocked the download. Look for a notification banner or pop-up message (usually at the top or bottom of your screen) and follow the prompts to allow the download. Then try clicking Run again.

                    3. The report is empty
                    Your selected filters may be too restrictive. Adjust your filter selections and run the report again.

                    4. The report is taking a long time to generate
                    Large reports can take longer to process.

                    • Wait a moment and check the Report Downloads tab for status updates.
                      • If the status shows Pending for more than five minutes contact support at support@olari.com for assistance.
                    • If it is a Download only report, and it does not appear in your computer Downloads folder, verify that your browser is not blocking downloads (reference point 2 above).
                      • If everything looks correct, try clicking Run again.
