How to Reassign a Bed

Move a client to a new program stage, or to a different bed (such as a different bunk). No computer experience needed.

Before you start

Log in to Olari. Know which client you are moving and where they are going — a new stage, a new bed, or both.

Who can do this: Administrator, Full No Admin, Full No Billing, Detox Monitor, and General User. (Read Only staff cannot move clients.)

Two ways a bed can change

1) By program stage (a phase move). When a client moves from one phase of the program to the next (for example, from “MET I” to “MET II”), they often move to a bed set aside for that new stage.

2) By bed placement (a spot move). Sometimes the stage stays the same but the client needs a different bed — a bottom bunk instead of a top bunk, or a corner bed. The spot is part of the bed’s name (for example, “P1-B-Top” or “P1-B-Bottom”).

Both kinds of moves use the same blue Move button on the Client Census grid.

PART 1: Open the Move Screen

  1. Go to the Client Census (this is usually your home screen — or click “Home” at the top).
  2. Find the client’s name in the list.
  3. In the “Move” column on that client’s row, click the blue button (it shows two arrows).

      ✓ What you should see: The “Change Bed/Stage” screen opens for that client (confirm you have the correct client by reviewing details in header), showing a Stage box and a Bed box.

      PART 2: Move to a New Program Stage

      Use this when the client is moving to a new phase of the program.

      1. Click the “Stage” drop-down box.
      2. Choose the new stage (for example, change “MET I” to “MET II”).
      3. The bed list updates to show beds for that new stage. Choose an open bed. (If no beds appear, click “View All Beds.”)
      4. Click the button that says “Save.”

              ✓ What you should see: On the Census, the client’s “Last Stage” and “Bed” now show the new stage and bed.

              PART 3: Move to a Different Bed (Top Bunk → Bottom Bunk)

              Use this when the stage stays the same, but the client needs a different bed.

              1. Leave the “Stage” box as it is — do not change it.
              2. Click the “Bed” drop-down box. Each bed’s name shows where it is. The bunk is part of the name — for example, “P1-B-Top” is a top bunk and “P1-B-Bottom” is the bottom bunk.
              3. To move the client from a top bunk to a bottom bunk, choose the bed whose name ends in “Bottom".
              4. Click “Save.”

                      ✓ What you should see: On the Census, the “Bed” column for that client now shows the new bed — the bottom bunk.

                      💡 Tip: Bed names are set up by your facility. Yours may use words like “Top,” “Bottom,” “Corner,” "Up", "Down", or room numbers.

                      If something goes wrong

                      The bed you want is not in the list: it may be full, turned off, set for a certain gender, or set up for a different stage. Click “View All Beds,” or ask your supervisor.

                      You do not see a Move button: your role may not allow moving clients. Ask your supervisor or the Olari administrator.

                      You picked the wrong bed or stage: no problem — access client chart and delete the most recent bed assignment located in Enrollments section under Stage Changes or Bed Changes Tab. Once deleted, then click the Move button located on the Current Stage & Bed box in lower right corner of screen and proceed with making the update(s).

                      It says the bed is already taken: most beds hold one person. Pick an open bed or check with your supervisor to determine if client currently assigned bed is being moved to another.
