Quick Reference Guide — A First Look at the Client Chart What the chart is, how to open it, and what lives on each tab. No computer experience needed.
What is the client chart?
The client chart is a single, centralized record for an individual client. Think of it as that person’s complete file. It contains everything related to them, including, but not limited to, demographic information, program enrollments, medical history, drug use, activities, and documentation. The information is organized into tabs (also called sections). Each tab focuses on a specific type of information. To view the details within a category, simply click on the corresponding tab.
How to open a client chart
- Log in to the Olari Portal using your assigned Link (URL) and credentials.
- Go to the Client tab on the menu bar at the top of the screen. From the dropdown menu, select one of the following:
- Census – Typically defaults to active client view, but you can switch to inactive if needed.
- List – View all clients, both active and inactive.
- To quickly find a client from either Census or List:
- Use the search bar located in the upper-left corner above the grid.
- Type the client’s name and press Enter.
- Click on the client’s name.
- The client chart will open.
- Use the tabs on the left side of screen to navigate between different sections of the client’s information.
✓ Good to know: Clicking a tab only shows you information. Nothing changes until you click “Add”, “Edit”, or “Delete” and then “Save.” So feel free to click around and explore — you cannot break anything just by looking.
💡 Tip: You may not see every tab listed below. That is normal — Olari shows you only the parts your role needs for your job.

THE PERSON’S INFORMATION |

Demographics |
The client’s basic details: name, date of birth, home address, phone number, and Social Security Number (partially masked). |
Look up or update their personal information. This is the first page you land on. |

Contacts |
The people connected to the client — family, friends, emergency contacts etc. |
See who to call or add a new contact. |

Insurance |
The client’s insurance information. |
Check coverage or add an insurance plan. |

THEIR PROGRAM AND STAY |

Enrollments |
The client sign-ups for your programs, including which bed and stage they are in. A step-by-step Wizard can guide a new intake/sign-up. |
Start a intake/sign-up, change a bed or stage, or end enrollment. |

Intake Data |
The information collected on the client’s first day (intake) of a program. |
Review what was recorded when the client first enrolls. |

Events |

Always review this section before administering any food or medication. Allergies marked as severe or fatal will trigger an alert icon at the top of the chart and next to Allergy Tab in the navigation bar. |

The client’s diagnoses. |

Drug Use |
The client’s reported history of drug or alcohol use. |

Medical History |
Past medical conditions and background. |

Vitals |
Body measurements like blood pressure, pulse, and temperature — plus the withdrawal scale (CIWA / COWS) if your facility uses it. |

Tips for your first time
• Start on the Overview tab to see the big picture, then open the tab you need.
• To go back to the full list of clients, click “Clients” in the menu again.
• When you add or edit something, always finish by clicking “Save.”
• If a tab is missing or a button is greyed out, your role may not include it. Ask your supervisor or the Olari administrator.
